What's new with Google Apps?

One of the great benefits of hosted software is that applications can be upgraded and enhanced seamlessly. Sometimes improvements can fundamentally improve the way you use an application, and other times they're small tweaks that make you love a great service just a little bit more.

Below you'll find out about some new features that we think are pretty cool, including email migration and the shared address book.

Also, if you're still in the process of promoting Google Apps' adoption in your organization, tell your colleagues to check out this new video. Nothing is more convincing than a good demo.
Email migration

We know that some organizations have been reluctant to switch to Google Apps because they did not want to make the transition and leave valuable data behind. If you've yet to fully deploy Google Apps in your organization, the switch just got a lot easier.

As of today, Google Apps domains on the Premier and Education Editions have access to a new migration tool that makes it easy for administrators to transfer all their users’ email data from an IMAP server to Google Apps. Using the new migration tool is easy. Just click here and follow the instructions (this link points to the 'Advanced Settings' tab of the control panel). After migrating your email, each message displays the original sender, recipient, and date. The folder structure of your old mailbox is translated to Gmail labels.

If you're using Google Apps Standard Edition and would like to upgrade to Premier or Education Edition, click here and log in to access the upgrade form (this link is the same as logging into your control panel, clicking the 'Domain Settings' tab, and then and viewing 'Account Information').

If you haven't yet upgraded to Premier or Education edition and have questions, contact us.
Shared address book

Administrators can now activate a feature to automatically create a shared address book which includes all the users on your organization's Google Apps domain. The address book makes it even easier to get in touch with everyone in your organization without going to a separate list or company directory.

When composing a new email or sharing a document, you now have the option to search through all the users on your domain, even if they aren’t in your personal contact list. Need to send a note Paula S in Sales, but aren’t sure of her email address? As long as she has a Google Apps account on your organization's domain, all you have to do is type in the first few letters “Pau … “ and your address book will help with the rest.

Currently, you can access the shared address book from Gmail while composing a new message, or from Google Docs & Spreadsheets on the “Share” tab. Click the “choose from contacts” link and a smaller window should appear.

To activate the automatic address book for your domain, click here and make sure that the "Enable Contact Sharing" radio button is enabled (this link is the same as logging into your control panel, clicking the 'User Accounts' tab, and then and viewing 'Settings').
Multi-person chat from within your start page

Now you can chat with colleagues and friends from right within your Google Apps start page. The new Google Talk gadget also allows for multi-person chat, so you can schedule a meeting or get input from multiple people without switching back and forth between chat tabs.

To add the gadget to your Start Page, click the “add stuff” link on the top left corner, open the “Google Apps” category of gadgets, and click “add it now.” Gmail slideshow viewer and increased attachment size

We've doubled the allowable attachment size to 20 MB to make your Gmail space even more useful. Now you can start sharing more of those large files and presentations as attachments. And when you get a Powerpoint file as an attachment, now you can play it as a slideshow without having to download the file. Just click 'View as slideshow' next to the .ppt attachment you want to preview. Since you can also open .doc and .xls attachments with Google Docs and Spreadsheets, there's no need to leave your web browser to view most email attachments.
Google Calendar gallery

Many organizations and individuals choose to share their calendars publicly through Google Calendar. Now Google Calendar users can access these calendars through a easy-to-browse gallery. You can find all sorts of interesting public calendars that you can overlay on top of your calendar, so you can keep track of your favorite baseball team's schedule, know when your favorite TV show is a repeat, or follow your favorite band's concert tour. To see the gallery, click the 'Add' button at the top of your list of calendars and choose 'Add a public calendar'.
Search among thousands of new Start Page gadgets

The start page is a central place to preview and access your calendar and inbox, find company information, and search the web. Users can now easily search for gadgets by clicking the 'Add stuff' link on the top left corner of your homepage. Search for the brand new Google Talk gadget that allows you to chat with colleagues and friends from within your Google Apps start page!
